BEONE Space Terms of Use

 

Article 1 Purpose

To enhance the efficiency of BEONE space usage at Farglory International Center, to ensure the comprehensive maintenance and management of the venue, and to provide users with a convenient, orderly, and safe environment, these terms are hereby established. Your entry into or rental of the space shall be deemed as your understanding and acceptance of these Terms of Use.

 

Article 2 Definition of Scope

The scope covered under these Terms of Use is defined as follows:

  1. Public Areas: NEX PARK, IDEA POOL, café, and all open seating areas.
  2. Exclusive Areas: PRIME LOUNGE, VISION SPACE, and meeting rooms, which are available for use only upon rental. In addition, during any period when NEX PARK or IDEA POOL is rented for events, such spaces shall also be regarded as exclusive areas.
  3. Venue-Wide: Includes, but is not limited to, the aforementioned public spaces within Farglory International Center BEONE, such as elevator lobbies, restrooms, and other similar facilities.

 

Article 3 Venue-Wide Regulations

  1.      Venue-wide regulations

(1)       All entry to the building and elevator use must comply with the building’s regulations. Maintain a low noise level at all times and refrain from loud talking or disturbances.

(2)       The venue reserves the right to request all external visitors to leave after the posted closing time.

(3)       All artworks, exhibits, equipment, and other property belonging to the venue must not be taken offsite or used inappropriately. Any misappropriation or damage will be subject to reclamation or compensation in accordance with applicable laws.

(4)       If personal belongings are left occupying public spaces, the venue may remove them and assumes no responsibility for their safekeeping.

(5)       If the space is left in an untidy condition or is not restored to its original state after use, the venue will charge cleaning or restoration fees in accordance with the space’s specific fee standards.

(6)       Outside food is not allowed in the venue. Food purchased from the on-site café may be consumed only in designated dining areas. Eating and drinking are strictly prohibited in NEX PARK. After dining, all utensils and containers must be returned to the designated return station. For food provision in exclusive rental areas, refer to Article 4, Item 8 of these Terms.

(7)       The swing installations in NEX PARK must be used in accordance with the specified capacity limits and usage guidelines. The venue bears no liability for injuries or damages resulting from non-compliant use and will seek compensation in accordance with the law.

(8)       To ensure the rights and interests of all visitors, large group visits (20 or more people) must be arranged in advance through the venue’s official website.

(9)       The venue is covered by public liability insurance.

(10)   Entry into the venue constitutes acknowledgment and acceptance of all applicable space usage terms. The venue reserves the right to amend these terms at any time without prior notice, and such amendments shall apply to both current and future users.

(11)   The venue reserves the right to revise, modify, or suspend these usage terms. In the event of any dispute, the venue’s regulations shall prevail and be enforced. The venue may supplement these terms at any time.

  2.    Venue-Wide Prohibited Conduct

By entering or leasing any space within the venue, you agree not to engage in any of the following:

(1)       Engaging in obscene or pornographic acts, activities harmful to the physical or mental health of children and adolescents, sexual harassment, or conduct contrary to public order and good morals.

(2)       Committing insult, defamation, invasion of privacy, or infringement of intellectual property rights.

(3)       Engaging in violence, intimidation, threats, or incitement to commit a crime.

(4)       Spreading rumors or false information regarding infectious disease outbreaks or other matters that may disrupt public order.

(5)       Gambling, trafficking in drugs, selling or promoting tobacco or alcohol, or engaging in any transaction involving prohibited items.

(6)       Engaging in money laundering or providing financial support for terrorism.

(7)       Providing analysis, recommendations, or opinions on securities or financial products; trading on behalf of others; manipulating prices; or illegally accepting deposits.

(8)       Selling, promoting, or advertising pharmaceuticals or medical devices; publishing medical advertisements; or providing medical consultations.

(9)       Cooking or using open flames (including but not limited to incense or candles); however, cooking equipment in the PRIME LOUNGE may be used upon completion of the reservation process.

(10)   Making unauthorized connections to the venue’s 220V electrical outlets without prior approval.

(11)   Bringing hazardous materials, creating excessive noise, or engaging in other disruptive activities (including but not limited to using microphones or sound amplification equipment, singing, or playing musical instruments).

(12)   Smoking or consuming tobacco or related products (including but not limited to cigarettes, e-cigarettes, and hookahs), or using illegal drugs.

(13)   Bringing animals into the venue, except for assistance dogs such as guide dogs, hearing dogs, or other service animals.

(14)   Engaging in any conduct without the prior consent of the venue.

(15)   Entering the leased space earlier than the scheduled time or remaining beyond the rental period.

(16)   Conducting funeral or mortuary-related services, events, or activities (including but not limited to spiritual rituals, memorial services, exorcisms, filming simulated funeral ceremonies), and bringing urns, ancestral tablets, or other related items into the venue.

(17)   Engaging in any conduct that violates the BEONE Meeting Space Terms of Use.

(18)       Engaging in any other conduct that violates the law, infringes on the rights or interests of others, or obstructs or interferes with the venue’s provision of services.

 

   3.    Surveillance cameras

(1)       To ensure the safety of the venue and prevent unlawful activities, surveillance cameras have been installed throughout the premises for video recording (without audio).

(2)       Unless content review or extended retention is required for the aforementioned purposes, the venue will retain recorded footage for 7 days (or for any other period required by law), or until the investigation is concluded or as otherwise required by the competent authority.

(3)       When renting a space to host an event, you must ensure that all participants and users of shared spaces are fully informed that surveillance cameras are in place and that they consent to the venue recording and retaining footage in accordance with the purposes and methods described above.

(4)       Entering the venue or reserving a space through the website constitutes your consent to the venue recording during your use of the space and retaining the related footage.

(5)       The venue will not use, disclose, or share recorded footage without the consent of the individuals recorded. However, within the reasonably necessary scope for the purposes below, the venue may, at its discretion, retain and disclose such footage to government agencies, judicial authorities, guardians of minors, or other parties:

      1. To comply with laws or requests from government agencies.
      2. To prevent substantial harm to the rights or interests of others.
      3. To eliminate imminent threats to the life, body, liberty, rights, or property of space users or the public.
      4. To help clarify responsibility in disputes or conflicts.
      5. Other situations deemed necessary by the venue.

 

  4.    Lost items  

(1) If any items are left behind on-site, the event organizer must retrieve them in person.

(2) Lost items will be temporarily stored at the venue office. If they are not claimed within one week, the venue will dispose of or no longer retain them.

 

Article 4 Exclusive Area Usage Regulations

In addition to the regulations outlined in Article 3, the following rules apply when renting and using exclusive areas:

  1. The venue’s operating hours correspond to the reserved usage time, including pre-event setup and post-event restoration.
  2. If signage is required, only the venue’s approved specifications may be used, and signs must be placed in designated areas. Sign content must be printed in advance by the renter.
  3. Furniture in exclusive areas is self-arranged by users and must be returned to its original position before leaving the venue.
  4. Exclusive areas may not be locked at any time during the rental period.
  5. Product exhibitions and sales are permitted only within exclusive areas and are not allowed in public areas.
  6. Prior to and during the event, you must ensure that your personnel monitor conference materials, equipment, and personal belongings brought on-site. The venue bears no responsibility for safekeeping or compensation.
  7. If a 220V power supply is required, you must submit a request in advance. Additional charges will apply based on the fee standards of each space. Equipment availability is determined by the facilities list for each area.
  8. Complimentary drinking water is provided on-site. If the event organizer wishes to provide additional food or beverages, this must be applied for at the time of rental. A cleaning fee for in-room dining will apply in accordance with the fee standards of the specific space.
  9. After the event, all trash must be sorted and removed. For large quantities of trash that cannot be disposed of independently, a trash handling fee will be charged based on the fee standards of the specific space.
  10. If you, as the renter, or your event participants cause damage to the venue or its facilities, you will be held liable for compensation.

 

Article 5 Exclusive Area Reservation Guidelines

  1. Business Hours
    (1) Space reservation hours: As per the available time slots listed in the venue rental system on the official website.
    (2) Venue service hours: As announced on the official website.
    (3) For inquiries outside of service hours, please contact the venue via the official website. We will respond no later than the third business day thereafter.
  2. Reservation Method
    (1) Reservations for NEX PARK, IDEA POOL, and PRIME LOUNGE must be submitted through the online booking system. Your reservation will only take effect after approval and full payment within the specified deadline.
    (2) Reservations for VISION SPACE and meeting rooms must complete the online booking process and full payment for the reservation to take effect.
    (3) If full payment is not completed within the payment deadline for any reason, the reservation will be canceled. If payment fails for reasons not attributable to the venue or this website, the renter shall be solely liable for any resulting loss or damage. The renter is responsible for ensuring successful payment.
  3. Order Confirmation
    (1) The venue reserves the right to determine whether to accept a reservation request. The venue may cancel a confirmed reservation for a specific rental space based on actual circumstances or as deemed appropriate.
    (2) Unless canceled by the venue, completion of the reservation and payment process constitutes a confirmed reservation. Any cancellation or rescheduling must comply with the refund policy and applicable rescheduling/refund conditions for each space, as announced on the reservation platform. Such changes may incur forfeiture of deposit, non-refundable payments, or handling fees.
    (3) Members must promptly update their personal information (including, but not limited to, address, email, and phone number) on the website or notify the venue of any changes. Members may not use any inconsistency in their information as grounds to dispute a confirmed reservation or refuse payment.
    (4) The venue will endeavor to ensure the accuracy of information regarding rental spaces published on this website; however, accuracy, completeness, and timeliness are not guaranteed. Renters with questions regarding rental spaces (including, but not limited to, equipment and facilities) must contact the venue before placing a reservation.
  4. Site Visit
    Please contact the venue via the official website to schedule a site visit.

 

Article 6 Exclusive Area Payment Methods

1. Payment Channels

(1) Payment may be made via credit card/debit card, bank transfer, or site credits. Once the transaction is completed, you will receive a payment confirmation, a credit deduction notice, or a transaction message and e-invoice provided by NewebPay.
(2) All transactions on this website shall be based on the system-generated electronic transaction records. In the event of any dispute, such records shall serve as the basis for determination. If any transaction information appears incorrect, you must notify the venue immediately and provide supporting documentation or information as requested; failure to provide such documentation may prevent the venue from amending the transaction.
(3) Once your credit/debit card is successfully linked to a registered account on this website, the account is deemed authorized to use the linked card for all transactions related to this service. Upon completion of an order, you authorize the venue (and its associated service providers) to charge the full transaction amount to the designated card.
(4) The renter is solely responsible for maintaining the confidentiality and security of credit/debit card information and agrees not to obtain or use such information through theft, impersonation, or any other improper means.
(5) In the event of card misuse or any other security issue, the renter must notify the venue immediately.
(6) If a debit card payment causes an overdraft or incurs additional bank handling fees, the renter shall be solely liable for such charges.

2. Invoices

(1) In compliance with the Ministry of Finance’s e-invoice policy, the venue is authorized to issue cloud-based electronic invoices. Paper invoices will not be mailed. A notification of invoice issuance will be sent via email as proof. After order completion, the e-invoice will be sent to you; you may use the random code in the email along with the invoice details to verify the invoice status via the Ministry of Finance’s e-Invoice Platform.
(2) Only one e-invoice certificate will be issued per order. The renter must properly retain the certificate; replacements will not be issued if lost. Any discrepancies in invoice details should be reported immediately.
(3) As invoices are automatically generated, the item name on the invoice is fixed and cannot be customized, nor can the invoice date be altered. Two-part invoices cannot be converted into three-part invoices after issuance. To receive a three-part invoice, select “Company” in the invoice section at the time of booking and provide a valid Unified Business Number and full company name.
(4) By placing a reservation, the renter authorizes the venue to issue a Sales Return or Discount Certificate for any refund. Once the refund is processed, the venue will upload the certificate directly to the Ministry of Finance’s e-Invoice Platform.

3. Security Deposits

(1) The venue may collect a security deposit for certain orders. The deposit (without interest) will be refunded upon confirmation that the space usage terms have not been violated.
(2) In the event of violations of the usage terms, overtime usage, equipment damage, or other surcharges as specified in the fee standards of each space, and if payment is not made within the venue’s designated deadline, the venue may directly deduct the corresponding amount from the security deposit.

 

Article 7 Same-Day Checklist for Exclusive Area Use

  1.   Items to Bring

If you need to connect a projector to your personal device using a non-HDMI connection, you must bring your own adapter.

   2.  Emergency Contact

For any urgent equipment issues on the event day, please contact on-site staff or call the venue at (02) 8722-8999 ext. 1735.

   3.  Event Start

You may enter and use the space when the reserved period begins. If you arrive outside of the reserved time, please wait until your time slot begins.

   4.  Wi-Fi Access

Wi-Fi account credentials will be displayed on a small stand or wall sign inside the space.

   5.  Cleaning

If any beverages or food cause spills or stains during use, please notify staff immediately. Cleaning supplies will be provided for you to clean the area. Irremediable stains or damage may incur additional cleaning fees according to the fee standards for each space, depending on the extent of damage.

   6.  End of Event

After the event concludes, staff will inspect the equipment to confirm that it is undamaged. Any irreversible damage will incur additional charges as per the space’s fee standards.

   7.  Extension and Overtime Use

(1) If you require an extension of the reserved time during your usage period, please reserve the next time slot via the platform and complete payment before your original rental period ends. Successful extension is subject to actual space availability and is not guaranteed by the venue.
(2) Failure to vacate the space (including personnel) at the end of the reserved time shall be considered overtime use, and additional charges will apply according to the specific space’s fee standards.
(3) If the next time slot is already reserved by another user, you may not occupy the space beyond your scheduled time. Any resulting infringement on others’ rights or interests will be your responsibility.
(4) Overtime charges must be settled on-site using the designated payment method.
(5) For detailed charges, please refer to the fee standards for the specific space.

 

Article 8 Governing Law and Jurisdiction

  1. The interpretation and application of these space usage terms shall be governed by the laws of the Republic of China (Taiwan).
  2. Any disputes arising from these terms or from space usage shall be subject to the jurisdiction of the Taipei District Court of Taiwan as the court of first instance.
